VoxHaven Privacy Policy

Last updated: June 13, 2026

This Privacy Policy explains how VoxHaven ("VoxHaven", "we", "us", or "our") collects, uses, and protects information about you when you use our digital storytelling platform, websites, and related services (collectively, the "Service"). VoxHaven is designed as a safe space for LGBTQIA+ individuals, questioning folks, and supportive allies.

This Privacy Policy is for general information only and does not constitute legal advice. You should consult your own legal counsel to understand how applicable laws apply to you.

1. Scope

This Policy applies to information we collect when you:

  • Visit our websites or apps.
  • Create an account, join our public beta, or interact with the VoxHaven community.
  • Communicate with us via email, in-app features, or social channels.

2. Information We Collect

2.1 Information you provide directly

  • Account details: such as display name, email address, password or authentication credentials, and profile information.
  • Community role: how you self-identify for the purpose of our community (for example, LGBTQIA+ member, ally, or "prefer not to say").
  • Stories and posts: content you create, upload, share, or otherwise submit through the Service (including text, reactions, tags, and comments).
  • Support requests: messages or information you send to us for help, feedback, or reporting issues.
  • Beta sign-up and onboarding information: for example, what brings you to VoxHaven and what you are looking for in the community.

2.2 Sensitive information

Because VoxHaven is designed for LGBTQIA+ people and allies, some information you choose to share may reveal details about your sexual orientation, gender identity, mental health, or other sensitive matters. Providing this information is entirely voluntary, and you should only share what you are comfortable sharing. We treat this type of information with particular care and only use it as described in this Policy.

2.3 Information we collect automatically

When you use VoxHaven, we automatically collect certain technical information, such as:

  • Device and browser information (e.g., type, operating system, language).
  • Log data (e.g., IP address, access times, pages viewed, referring links).
  • Usage data (e.g., features used, interactions with content, session duration).
  • Cookies or similar technologies to remember your preferences and help secure your account. See our Cookie Policy.
  • Push notification tokens: if you enable push notifications on the VoxHaven mobile app, we collect a device token issued by your device's operating system (via Firebase Cloud Messaging). This token is used solely to deliver notifications to your device and is not shared with third parties for advertising purposes.

2.4 Information from third parties

If you sign in via a third-party authentication provider (where available), we may receive basic account information (such as your name and email address) from that provider, according to their privacy settings.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Provide and maintain the Service: including operating the platform, creating your account, and enabling you to post, view, and interact with stories.
  • Community safety and moderation: to enforce our Community Guidelines, detect and prevent abuse, protect users from harassment and harm, and respond to reports.
  • Communication: to send you important updates about your account, changes to our policies, security alerts, and (where permitted) information about new features or opportunities at VoxHaven. You may opt out of non-essential communications.
  • Improvement and research: to understand how the Service is used, improve our features and user experience, and develop new tools and offerings. We may use aggregated or de-identified information for these purposes.
  • Legal, security, and compliance: to comply with applicable laws, respond to legal requests, and protect the rights, property, or safety of VoxHaven, our users, or others.

4. Legal Bases for Processing (EEA/UK users)

If you are located in the European Economic Area or the United Kingdom, we process your personal data under one or more of the following legal bases:

  • Contract: to provide the Service you sign up for, including account creation and community features.
  • Legitimate interests: such as ensuring platform safety, preventing abuse, improving the Service, and communicating with you about relevant updates.
  • Consent: where required, for certain communications or for the processing of more sensitive categories of data. You may withdraw your consent at any time, without affecting the lawfulness of processing before withdrawal.
  • Legal obligation: to comply with applicable laws and regulations.

5. How We Share Your Information

We do not sell your personal data. We may share information as follows:

  • Service providers: with trusted third parties who perform services on our behalf, such as hosting, email delivery, analytics, or customer support, under appropriate confidentiality and data protection agreements.
  • Other users: content you choose to post (such as stories, comments, and reactions) will be visible to other users according to the visibility settings available within the Service.
  • Legal and safety reasons: we may disclose information if we believe it is reasonably necessary to:
    • Comply with applicable law, regulation, legal process, or governmental request.
    • Enforce our Terms of Service and Community Guidelines, or investigate potential violations.
    • Detect, prevent, or address fraud, security issues, or technical problems.
    • Protect the rights, property, or safety of VoxHaven, our users, or the public.
  • Business transfers: in connection with any merger, sale of company assets, financing, or acquisition of all or a portion of our business, information may be transferred as part of that transaction, subject to appropriate safeguards.

6. Data Retention

We retain your information for as long as necessary to provide the Service, operate our business, resolve disputes, enforce our agreements, and comply with legal obligations. We may retain aggregated or de-identified information that does not identify you personally.

7. Your Rights

Depending on your location, you may have certain rights regarding your personal information, including:

  • Accessing the personal data we hold about you.
  • Correcting or updating your personal data.
  • Requesting deletion of your personal data, subject to legal and contractual obligations.

To exercise these rights, please contact us using the details provided below. We may need to verify your identity before responding to your request.

8. International Data Transfers

VoxHaven may process and store information in countries other than the country where you are located, including the United States and Canada. When we transfer personal data internationally, we take appropriate steps to protect it in accordance with this Policy and applicable law, such as using standard contractual clauses where required.

9. Security

We use reasonable technical and organizational measures to protect your information from unauthorized access, use, or disclosure. However, no online service can be completely secure, and we cannot guarantee absolute security of your information.
